The operating challenge

Kabin is five hotels in central Kyoto with 216 keys between them. The buildings vary in scale from 10 rooms to 86 and sit in different neighbourhoods. As any hotel operator knows, the work doesn't get easier with a smaller building - a 10-key hotel still has arrivals, room access, cleaning, traveller questions and daily reporting.

Run as five separate operations would result in duplicated efforts across workflows, landing hardest on the smallest hotels. Kabin needed one team working across the cluster without losing sight of any single property, and without asking staff to keep five versions of the truth.

The goal was never to take people out of the hotels. It was to take out the manual repetitive tasks that didn't need people.

Arrivals run as one workflow. Reservation details, traveller information, check-in status and access instructions all move through the same layer, so nobody copies the same thing between systems or rebuilds an arrival list per property. The front desk feels it first. Kabin's operations team puts the saving at 5-8 hours a day, and that time goes back into service and operations. VPs and managers spend less time digging through data and reports. Finance teams benefit from cleaner, faster reconciliation.

What this proves
